Data Deletion Request

Nexicat is gym-management software used by gyms and fitness businesses. This page explains how to request deletion of personal data connected with Nexicat.

Gym staff and gym members

If you are a staff member or member of a gym, please contact your gym manager or the gym's authorised administrator first. Your gym manages its staff and member records and is normally best placed to process requests relating to those records, including account removal or deactivation.

If you cannot reach your gym, or you need help with the request, email us at support@nexicat.com. We may need to work with the gym to confirm the request and the scope of the data involved.

Gym owners, administrators, and other requesters

Send a data-deletion request to support@nexicat.com. To help us locate the correct records, include your name, the gym or organisation name, the email address or phone number associated with the account, your role, and the data or account you would like deleted. Please do not send passwords, government ID, or payment-card details by email.

What happens after a request

  1. We verify the requester's identity and, where relevant, their authority to act for a gym or another person.
  2. We confirm the records that are in scope and whether deletion, anonymisation, or account deactivation is appropriate.
  3. We process the request and confirm the outcome within the timeframe required by applicable law and our contractual obligations.

Data that may be affected

Depending on your relationship with a gym, a request may cover account and profile information, contact details, staff or member records, attendance or booking records, and support communications. We will confirm the exact scope before acting on the request.

Important retention information

Some information may need to be retained where necessary for legal, tax, accounting, security, fraud-prevention, dispute-resolution, or backup and recovery purposes. Any retained data is restricted to those purposes and kept only for as long as necessary. Where full deletion is not possible, we will explain why and, where appropriate, anonymise or restrict the data instead.
